General Tour Information
Please be aware that all persons booked under the lead name of the booking agree to these Terms and Conditions.
GTTourz Ltd tours are social driving adventures and are NOT races, rallies, time trials, or competitive events in any way!
By their nature, our events are a challenge and will involve a full day’s driving on most days. We always allow time in the routes for you to take a break for coffee and lunch stops, and recommend you use them to get a rest from driving. We feel 6-7 hours behind the wheel is enough for anyone, especially when you are on the more challenging routes. Please note, that increased driving time may occur on occasion to reach the desired destination if unforeseen circumstances occur. There is usually a shorter option available to tour participants on some days if they’d like to spend more time relaxing by the pool or exploring the destination.
GTTourz Ltd does not sell fully guided tours to our customers. We do provide a lead car that will leave each day at a published time that you are free to follow if you wish. The lead car will follow the planned route on the supplied TomTom sat navs and on the GTTourz App, stopping off at key points along the way. Please be aware that routes are subject to change without prior notice if conditions won’t allow the original route to be followed.
We provide route guides and pre-programmed sat navs with waypoints to help you navigate the suggested routes. These, combined with your maps and in-car navigational systems should ensure you find your way to each destination with ease. Generally, participating cars will be travelling in one or more groups, however, you are of course entirely free to follow any route of your choosing, and we will meet up later at the hotel destination. Please note, that some tours may have different logistics, so please ensure you check each tour’s facts carefully before booking.
Driver Etiquette
Participants must conduct themselves sensibly, acting responsibly and appropriately at all times. You must always drive safely and with respect for other road users, as well as your fellow tour participants.
Hot tarmac and hot tyres = Stone chips. Therefore please refrain from tailgating when in convoy, give each other plenty of room, and you will help save your car from any unnecessary damage.
In no way are you to compete with other tour participants, you are responsible for your own behaviour and driving standards. GTTourz Ltd cannot be held responsible by you or any 3rd party for participating in any illegal or antisocial behaviour.
You must not drive under the influence of alcohol (or any other intoxicating substance), or drive if your ability to do so is compromised by illness, tiredness, or any other condition. Driving is tiring, and some of the roads GTTourz Ltd will recommend are challenging, particularly, but not limited to mountain passes, so always remember Tiredness can kill - Please take regular breaks.
To the fullest extent permitted by law, GTTourz Ltd declines liability in any accident caused by or to participants and their vehicles during the whole of the driving event.
Anyone deemed by GTTourz Ltd to be driving dangerously or recklessly will be immediately excluded from further participation in the driving event! You will also be refused further participation in the driving event if you violate any of the rules set out in these T&Cs or you refuse to follow instructions given to you on the driving event by directors and employees of GTTourz Ltd. In both cases, no refund will be given.
Compliance
Participants must comply with all applicable laws and regulations of the country in which they are travelling. This includes, without exception, all speed regulations, laws of the road and laws relating to the safety of your vehicle.
It is your responsibility to make sure you are fully up to date with the driving requirements for each country you visit. These must include an original car registration and insurance document when travelling in Europe. There is also certain safety equipment that you are required to carry, including warning triangles, high visibility jackets and alcohol Breathalyzer kits. This list isn’t exhaustive, so please ensure you check with local authorities as to what is required.
Driving & Vehicle Licence
All drivers must be over the age of 21 and hold a full and valid driving licence. If your chosen tour is in Europe you will need a valid passport and any visa requirements needed for the countries you plan to travel through. Please Note: International driving permits are NOT needed to drive in all EU countries, Switzerland, Norway, Iceland or Liechtenstein if you HAVE a photo card driving licence issued in the UK.
Participants are responsible for ensuring their vehicles are properly licensed to drive on public highways, within the specifications required in the country of travel.
We will have a couple of tasteful tour identifying stickers for your vehicle, but please note that in some countries in Europe, excessive livery on your car could result in attracting the wrong attention! In particular, the use of numbers on doors is not allowed, so we reserve the right to insist on their removal if we feel they are inappropriate.
Insurance
Adequate vehicle insurance MUST be obtained to cover you and your passengers for the duration of the tour. Appropriate insurance includes, without limitation, FULL COMPREHENSIVE motor insurance including driving overseas cover if going abroad. If you are unsure in any way what you are covered for, please check with your car insurance company before booking the trip.
We highly recommend that you take out travel insurance with a reputable company at the time of booking a tour, in case of future illness, or for any reason you may not be able to complete the tour, as we cannot offer refunds of any kind (Please see Cancellation section below).
Please note we do not include any mechanic support and do not have a breakdown recovery service available during the event. Please ensure you have the appropriate breakdown cover.
GTTourz Ltd recommends that you have a suitable vehicle breakdown policy in place for the countries you will visit during your chosen tour. Please ensure that it will recover the car and the passengers to a suitable garage for repair and cover you for ongoing travel in case the vehicle is not repairable, to allow completion of the tour. GTTourz Ltd cannot be held liable for any loss of tour time or hotel bookings missed, caused by vehicle breakdowns.
Responsibilities
GTTourz Ltd accepts no responsibility for the consequences of you being refused entrance or exit in or out of any country during the tour, including any costs incurred by you. This is solely the participant’s responsibility.
You must notify GTTourz Ltd at the time of booking your driving event about any medical conditions you suffer from and about which they might reasonably need to know e.g. allergic reactions, diabetes, epilepsy etc.
Timekeeping is essential for all ferry and Eurotunnel crossings. If included on your chosen tour they are pre-booked and you should ensure you are at check-in no later than the time stated on your ticket. All costs related to failing to turn up on time, including too early, for your scheduled crossing, will be the responsibility of the participant, including delays caused, but not limited to, inclement weather and traffic disruption.
Participants shall be held responsible for any accident or breach of the laws in which they may be involved and shall declare to GTTourz Ltd particulars of any such incident from which liability may arise and, to the fullest extent permitted by law, shall have no claim against GTTourz Ltd arising out of any act or omission of GTTourz Ltd, its servants, agents or officials during your driving event.
You agree to indemnify GTTourz Ltd and be bound by the terms laid out in the Indemnity clause in the T&Cs below
Booking your tour
The entry fee is based on 2 people sharing 1 car and 1 room.
A single occupancy is an option for a reduced fee, please check each tour page for full details.
To secure your place on the starting grid a deposit will be required at the time of booking and is NON-Refundable. Please see the events page for full tour details, including any special conditions relating to booking your chosen event and the deposit amount you need to pay.
On completion of the booking form, we will email over an invoice detailing the deposit amount to be paid by return. The subsequent balance payment will be due 90 days before the start date of the tour. Please be aware your place on the grid is not secured until we receive the full deposit payment and by entering, you agree to pay the full amount in line with our booking conditions. Please note, that late payments could be subject to an administration charge of £100 to cover extra costs incurred.
The entry fee includes, where applicable, pre-booked return Eurotunnel or ferry crossings, hotel accommodation, overnight parking for each day of the tour, and any other inclusions stated at the time of booking on the individual tour page. The entry fee does not include any personal expenses during the tour, including, but not limited to petrol, road tolls, food and drink (other than those stated), taxis, fines, or any other personal loss or damage you incur.
Payments for both the deposit and the full tour cost can be made via bank transfer (details on invoice) or our online payment system on both debit and credit cards. Please ensure you allow enough time for full payment to reach our account before any tour deadlines.
Any amendments/upgrades to the standard booking and accommodation terms are possible but are all subject to availability at the time of booking and must be notified at the earliest opportunity. Changes to the standard bookings will incur an admin charge of £100 per car per tour.
Paying the deposit is deemed to be an acceptance of both the T&Cs and cancellation policy by the driver and any passengers associated with that booking.
Hotel accommodation
GTTourz Ltd will provide you with quality hotels on each tour, where possible 4* & 5* hotels will be used unless otherwise stated in the tour details. During the tour as part of the entry fee, hotels include breakfast and selected dinners, if stated in the tour details.
Accommodation for 2 people will be a double or twin room; for 3 people, a triple room (a double or a twin room with an additional bed). Please note we will always do our best to provide you with the requested room choice, but this cannot always be guaranteed, especially if you’re booking late onto a tour.
A credit card must be provided for each room as a security deposit when checking in, but this is for any additional charges, such as spa treatments food and drink, or any damages caused.
Restaurants and other venues as outlined on the event web page are offered subject to confirmation and final availability.
Tour pricing
Circumstances beyond our control may dictate an increase in the cost of your tour. Any increase less than 2% of the published price will be absorbed within the original price – any increase over 2%, may mean we need to add to the final cost of your tour. This may include fluctuations in currency rates against the pound, for example, the Euro. In such instances, you will receive an email and an updated invoice from GTTourz Ltd detailing the additional costs. Failure to pay the additional costs may result in your place being cancelled on the tour.
Cancellation
GTTourz Ltd reserves the right to cancel your tour if it cannot proceed for any reason. You will be offered a place on an alternative tour (subject to availability), with all monies being transferred to your chosen event, or if you prefer you will be entitled to a full refund of any monies you have paid to date.
No refunds, including the deposit, will be made under any circumstances if at any point after you have booked the tour, you are unable to participate for any reason whatsoever.
Once your deposit has been paid, your participation in the tour is confirmed, so your hotel room, 3rd party travel (Ferry Company / Eurotunnel when included), and any other inclusions are financially committed to by GTTourz Ltd and their 3rd party suppliers. If you are unable to continue or decide to drop out of the event, for any reason whatsoever, GTTourz Ltd will not make any refunds of the deposit, or pay compensation based on the details below…
Cancellation more than 90 days = 100% loss of deposit
Cancellation less than 90 days = 100% of tour cost
Force Majeure
GTTourz Ltd cannot accept liability or refund monies if the tour has to be amended or cancelled, due to any circumstances outside our control, or that we could not foresee or avoid. Such as (but not limited to) natural disasters, adverse weather conditions, train, ferry or traffic delays, airline delays or flight cancellations (where applicable), or any changes brought about by war, threat of war, riot or civil unrest, pandemic, terrorist activity or industrial disputes.
We again advise that you take out suitable travel insurance at the time of booking to cover any losses you may incur from failure to be able to participate in your chosen tour.
Pandemic Policy
If we are unable to commence the tour due to a Covid-style lockdown, or hotel closures, bookings will be transferred to a later date. Alternatively, a full refund will be offered, as per our standard cancellation policy if we cannot proceed with a tour on the chosen dates.
Whilst all efforts will be made to check before departure that a tour will run to successful completion, national or local government rules may come into force during an event preventing travel through a particular area. GTTourz Ltd and any partner groups will always endeavour to find alternative routes and accommodations to try and ensure the completion of the tour in the best way possible.
If that is not possible GTTourz Ltd and any partner groups cannot be held responsible for any losses incurred by participants not being able to complete the selected tour route due to circumstances beyond our control, as outlined in our cancellation policy & force majeure policy above.
Complaints
Whilst we sincerely hope you don’t need to make a complaint, we would very much appreciate the opportunity to put something right at the time, rather than let something develop into a problem that rears its head after the event is over.
We want everyone to have the best time and pass that on to fellow petrol heads, and the way that a negative is handled, and can be turned into a positive, is often the best result. So please ensure you alert a member of GTTourz Ltd staff or its partners, and we will do our utmost to sort it there and then.
If you do still feel that something was wrong, and you were not satisfied with the way it was handled at the time, please put something in writing when you return home at the earliest opportunity, so we can deal with it promptly.
Experiences
GTTourz Ltd includes some events on tour, and whilst we take every provision to ensure they will deliver a great experience for our clients, GTTourz Ltd cannot be held responsible if clients are unable to complete the experience for circumstances beyond our control, but will endeavour to chase a refund if required on a customer’s behalf.
Events that include any motorsport or dangerous activities such as go-karting, or track sessions will be bound by any third-party T&Cs you sign up for. All liability will be with the third-party company!
Image and media rights
By signing these T&Cs you agree for GTTourz Ltd, and any associated clubs or groups, to use images shot by both our professional photographers and our representatives during a tour. This includes both still photography and video footage of you and your car, that may get included on our social media channels and future promotional material associated with GTTourz Ltd.
Please advise us at the time of booking, or before participation in the tour, if you do not agree to, or do not wish to be filmed, so we can ensure your privacy, as you cannot make any retrospective claims for any breaches of privacy at a later date.
White label events
White label events that are managed by GTTourz Ltd on behalf of car clubs, commercial companies and private groups are subject to GTTourz Ltd’s full standard T&Cs when clients book and pay their deposit, including all cancellation and tour conditions
Associated risks
I acknowledge that I am aware of the possible RISKS, DANGERS and HAZARDS that are associated with participation in road tours, understanding the possible risk of severe or fatal injury to myself or others.
Such risks and dangers include but are not limited to, traffic accidents, collisions with other road users or objects, the negligence of other drivers, and the hazards of driving on public highways that are to be expected.
I further realise that participation in this road tour will require strenuous physical exertion, as participants may be required to drive for long periods over several days. Be aware, that at times you may be driving through adverse weather conditions, including, but not limited to, high winds, rain and the possibility of snow & ice on mountain passes.
Indemnity
You will indemnify, the event organiser, GTTourz Ltd, its directors, officers, employees and consultants against any claims, lawsuits and causes of action whatsoever or howsoever arising and brought against them by you and any third party as a result of your action or participation in the road tour, including without limitation, your violation of any laws or regulations or your breach of these Terms and Conditions of entry.
I acknowledge that by making payment of the entry fee for my chosen event, I confirm that my co-driver and I have read the information containing details of the event and that I/we have read and agreed to be bound by the T&Cs laid out in this entry form, especially but not limited to those regarding speed and safety.
I understand that GTTourz events are not race rallies or speed trials.
I have noted and agreed to be bound by the requirement in the T&Cs that each car must have the legally required insurance covering their passenger, themselves and their car for travel on their chosen event.
I acknowledge that you, GTTourz Ltd, provide no cover (whether by way of insurance or otherwise) for cancellation or abandonment in full or in part for any reason, death, personal injury, third-party medical expenses, loss of earnings (actual or anticipated) or any loss of whatever nature.
I assure GTTourz Ltd that I am in good health and have no adverse medical condition.
I acknowledge that there exist inherent risks in participating in a GTTourz Ltd driving event. I acknowledge the danger of any adventure travel activity, including but not limited to dangers in general road driving, forces of nature, civil unrest, terrorism, accident or illness without means for rapid evacuation or medical facilities.
I understand that in the event of my suffering any personal injury or death (other than personal injury or death caused by the negligence of GTTourz Ltd) or any damage being caused to any property of mine I will not bring any action or other proceedings against GTTourz Ltd, its directors, agents, employees, licensees or assigns, event sponsors, or any company or persons associated with GTTourz Ltd.
I understand that GTTourz Ltd will use its reasonable endeavours to ensure that the other participants abide by these rules but cannot guarantee that this will be done.
I hereby indemnify GTTourz Ltd, its directors and employees from any third-party claim sustained in connection with or as a result of my participation in an event.
Accordingly, I undertake that in consideration of accepting my entry for this event I indemnify GTTourz Ltd from all claims, all sums of money whether for damages, costs, charges, or expenses, or otherwise which you may now or hereafter be liable to pay, incur or sustain in connection with or as a result of my participation in a GTTourz driving event.
The Law
These terms and conditions, and your participation in the tour are governed by English law and you submit to the jurisdiction of the Courts of England.
